Facility managers are constantly searching for ways to improve operational efficiencies. Many search for opportunities to outsource their cleaning services to janitorial companies. But outsourcing your cleaning services means more than just hiring a local janitorial contractor to clean your facilities.
Here are 10 commandments you should follow when searching for the perfect fit:
- Be sure any outsourced company is licensed, bonded and insured according to your facilities requirements.
- Provide a designated area for janitorial supplies, equipment and documentation.
- Make sure you have a staff roster for all direct laborers including full time, part time, contract labor and management staff.
- Request a list of all equipment to be inventoried and tracked. If equipment is large or has significant monetary value note serial numbers and manufacturer. An example would be floor maintenance equipment and commercial vacuums.
- All consumables should have a tracking sheet and noted. An example would be paper products and waste liners.
- Require a product folder with MSDS (Material Safety Data Sheets) documentation for all chemical and products to be used within the facility.
- Cleaning methods and protocol should be documented and provided to the facility manager. There should also be a schedule of services and frequency to support previously mentioned documentation.
- Be sure to ask how the services will be supervised? Who will be your point of contact? What is the preferred method of communication (email, phone and fax?)
- Require any outsourced company to have an emergency plan for unexpected occurrences. An example would be to have a protocol in place if there was an infection outbreak how would staff proceed with cleaning the contaminated area.
- Ask all staff to be uniformed with visible identification.
